WhatsApp
Instagram وFacebook

Privacy Policy
Last updated:
This policy explains what the Lost and Found Platform collects when you contact it, why each kind of data is needed, who can see it, and when it is deleted.
Who we are
The Lost and Found Platform is a service for registering lost and found property, matching the two, and returning items to their owners. It operates in the United Arab Emirates. The organisation operating the service is responsible for the data described here.
The channels you may reach us through
You can reach the service through the web portal, through WhatsApp, or by direct message on Instagram and Facebook. When you use one of Meta’s channels, Meta operates that channel and passes your message to us, and Meta’s own privacy policy governs that role. This page explains what we do with the message once it arrives.
WhatsApp
We receive the phone number that sent the message, the display name if Meta provides one, the text of your message, any photographs you send, and a location if you choose to confirm one on the map.
Instagram and Facebook
We receive a conversation identifier that Meta issues, scoped to this app and this account — it is not your public handle — and the text of your message. We do not receive your phone number, your follower list or your posts.
The web portal
The account details you enter when you register, and whatever you write in your report.
What we use
A description of the lost or found item, its category, and where and when it was lost or found.
The contact details you give us, so we can tell you what happens next.
Photographs you send, because a picture often distinguishes an item where a description cannot.
The transcript of your conversation with the service, so the member of staff handling your case can see what was already said.
Why we need it
One purpose: returning property to the people it belongs to. The data is used to register a report, match lost against found, verify that whoever claims an item owns it, arrange the handover, and keep you informed.
We do not sell your data and we do not trade it.
We do not use it for advertising or for any commercial purpose outside the service.
The automated assistant
When you message the service on WhatsApp or Instagram, an automated assistant reads your message to understand what you lost and to compose a reply. We use the Claude model from Anthropic for this, so your message is sent there for processing. You can ask to speak to a person at any time; the automated replies stop and a member of staff takes over.
What we record about that processing is structure, not content: a character count, the kind of request understood, and whether the reply was sent. Neither your words nor the assistant’s are written into operational logs.
Who can see it
Access follows job role, not organisational membership. Staff see what their work requires; contact details appear masked in lists and are revealed only where there is an actual need. Every access to a record is logged, and a reader may be asked to state why they are opening a record before it is shown.
We may share what is necessary with an authorised partner organisation involved in returning your item — the airport or shopping centre where it was found, for instance — and only to the extent that requires.
We may share what a competent authority requires of us under the law.
How long we keep it
Service records and information are retained in line with approved retention periods and the applicable operational and legal requirements. The period differs by kind of record:
Found property
The retention period follows the approved periods for each department and category, and may be set for an individual item. Reaching the end of it does not dispose of the item: it makes the item eligible for review, and the decision remains with an authorised member of staff.
An unfinished conversation
If you return to the conversation after a long gap, the platform starts afresh with you rather than resuming in the middle of an earlier step. Nothing is deleted: your draft, your photographs, your messages and your reports all remain.
Voice calls
We keep no call audio and no transcript. The conversation is held in memory for the length of the call and then discarded; only structure, such as the language and the kind of request, is retained.
The audit trail
A record of who opened what and when is retained, because that record is itself what protects your data from unjustified access.
How we protect it
Data travels over an encrypted connection, and passwords are stored hashed rather than readable.
Your conversation identity is derived by a hash, so the conversation key reveals neither your number nor your account.
Credentials and access keys are never printed into any operational log.
Sensitive number patterns are redacted automatically before anything is written down, including anything read aloud on a call such as a card or identity number.
Your rights
To ask what we hold about you.
To have your data corrected if it is wrong.
To request deletion of your data, as set out on the data deletion page.
To ask that the automated replies stop and speak to a person.
Children
The service is intended for adults. Where a child’s property is lost, we expect the report to come from a parent, guardian or responsible institution.
